It's Grad Day For Management Training

Training Coordinator Michael Shell proudly shares, "The Jacksonville Public Library has seven! recent graduates from NEFLIN’s first Management Training Institute (MTI) class:  http://neflin.org/mti/
"They are: Catherine (Katie) Devanny, Erik Larsen, Rebekah Mitchell, Margaret Morford, Carisia Rooney, Theresa Rooney and Jackie Spiritas. At the last class on June 2, the twenty-four library staff celebrated with cake, punch, presents, laughter, tears, and of course:  pictures.

"The group met monthly from January - June 2016 at the Orange Park Public Library.

"JPL appreciates the Orange Park staff for hosting us.

"Congratulations to the participants for their time and effort to make this Institute a success!"

Much More Than Hazzel Sutton Bargained For

A lasting impression was made on UPK Library Associate Hazzel Sutton when she attended Leading from Where You Are, a  NEFLIN training class held at Main, January 24.  Hazzel said,  "I signed up for this class primarily to fulfill my training requirements but received much more than the few 'kernels' I anticipated.  The instructor, DeEtta Jones, was engaging and challenged us. The content of the class appealed to me personally having been part of the organizational shift in 2012 and having some current challenges at work.
"Ms. Jones was dynamic, informative, and well spoken. Her delivery was impeccable. Her presentation was that of a college professor, a comedian, a preacher, and a motivational speaker. I can apply her presentation in my doctoral studies, at home, and hopefully at work. All COJ/JPL managers should be required to attend this training. She covered emotional intelligence in great detail and pointed out the various positive approaches  that most managers lack.
"I liked the handout that was given for her power point presentation. I find it very useful. She referenced books and authors that we can follow up on relating to her training and the questions that were asked. I liked the problem solving methods versus the appreciative section defining how to identify problems, conducting root cause analysis instead of imagining "what might be." It is hard to pick out specifics. I was emotionally and academically involved and engaged in the entirety of the training.

"This is by far the most useful class I have attended in JPL in the past five years.  I aspire to be like DeEtta Jones."

Staff Trains Staff at UPK = Another Success

On Saturday, July 21, Library Assistant Josh Wise coordinated and conducted staff training for the ULC Part-time clerks at University Park Branch Library. Library Supervisor Marshelle Berry and Training Coordinator Sara Radovic served as training facilitators. Circulation Services Supervisor Ron Block was the guest speaker for the event.
Ms. Berry, who is Mr. Wise’s supervisor, states, “He graciously accepted this assignment and handled it extremely well. This once again proves that leaders can come from any level of the organization.

Mystery Shopping FAQ's

JPL's Training Coordinator. Sara Radovic, shares this update with you:  "Thank you to everyone who responded to the Customer Service Satisfaction survey!  We have compiled your questions and below is a list of frequently asked questions with answers for you.  If you have a question that isn’t addressed on this list, please send it to me at sradovic@coj.net.  I will answer it and update the FAQs accordingly.  Again, your participation is appreciated!"

                                       MYSTERY SHOPPING FAQ'S

What will they be looking for?

The mystery shoppers will be looking at four aspects of our services – Circulation, Reference, Customer Service, and Front-line Marketing. The shoppers will be asking routine questions at the Circulation and Reference Desks. They will be assessing:
- the accuracy of the information given out (was the correct policy stated?)
- overall customer service.

What is expected of staff ?  Will I be judged for something I didn't know I was supposed to do or know?

The mystery shoppers will be asking the same kind of questions we get day-in and day-out. You are already doing most of what they’ll be looking for.  Front-line marketing is something new for JPL, and Training will make sure you’re given what you need to know to be successful in a shop.

Will the shopper check phone etiquette?

Yes, we anticipate that the mystery shoppers will evaluate phone etiquette.

Are there disciplinary procedures in place for poor mystery shopping feedback?  Will this have any impact on our performance reviews and in the distant future when we may start getting raises again, will this be a factor?  How is this going to tie into my performance management?  Is this an information gathering tool for training?  Are the above behaviors those that will be "graded" or are there other aspects?

Staff won’t be disciplined for a poor shop. It’s not a gotcha. The purpose of the mystery shopping is to assess effectiveness and determine needs for additional training, not to penalize staff. The shops can be looked at as being just another kind of customer feedback, and it’s up to the manager’s discretion as to how he/she wants to incorporate them into the performance reviews.

Are the mystery shoppers going to be regular customers who are willing to assist or are they people who do this as their job?

The mystery shoppers are professionally trained as shoppers, though they could very well also be current JPL customers.

How in-depth will the circulation questions be for staff who work in a reference department?  Some mystery shopper experiences the staff has had involved mystery shoppers being instructed to act out, be difficult, or ask what we cannot provide. Will this type of testing the staff be used?  Will the shopper ask hard questions or routine questions?  Will they understand that neighborhood libraries may be different than larger branches?

The mystery shoppers will be asking routine questions, the kind we get everyday at the Circulation and Reference Desks. They won’t be instructed to be difficult customers, and they won’t be asking weird or bizarre questions. We understand that the neighborhood libraries are different than the larger branches and have developed specific questions for the shoppers when they are there.

Will the staff be aware when the mystery shopper is coming in?

The mystery shops will start in March and managers will know within a few days when their branch has been shopped.

Will staff have an opportunity to share their experience with this endeavor?

The managers and Administrative staff will have direct access to the shops once they’re completed and will discuss outcomes in their regular staff meetings. There will be system-wide recognition of good shops.

How did this start?

Mystery shopping was selected to support Objective #6 in the Balanced Scorecard – "Practice essential behaviors of customer service excellence" and "Give accurate information to customers."

Efficiency for All of Us from Training Dept.

Richard Mott offers some real help in saving time when using Microsoft applications:

When using software such as Microsoft Office applications, it’s always a kick to find a quicker, more efficient way of doing things. I’d like to share demonstrations of a couple of such tips. The first is a quicker way to find City employee e-mail addresses in Outlook by using the Check Names button.

The second has been a lifesaver for me in working with Microsoft Word. Formatting in Word can drive me crazy, especially when I’m mixing numbered lists with bullets and/or regular text. No matter what I do, sometimes I can’t seem to get the darn things to line up right. Learning how to use the Format Painter has been a big help in solving some of those headaches. Check out either one of these “Quick and Dirty Tech Tutorials” if you think they may be helpful.

What computer software tips have you discovered that have helped you be more efficient? Let me know if you would like to share them with others (rmott@coj.net or 630-2407).

Poster Session at FLA Conference

JPL is overflowing with interesting projects and innovative ideas. The Poster Session at FLA Annual would be a great place to share them. This is from FLA's Continuing Ed Committee:

Poster Sessions are a great opportunity to share your projects, research, interests and information with your colleagues in the library community. The Florida Library Association seeks Poster Session proposals that will be presented at the 2010 FLA Conference April 7-9 in Orlando.

Poster sessions may cover an array of topics such as reports on library projects and programs, research studies, trends, and problem analysis. Presenters create high quality visual material to cover a 4 foot by 8 foot area and will be present to discuss their poster session with other conference attendees during a pre-assigned time slot.

For more information, tips, and examples see http://www.flalib.org/conference_2010.php and click on Poster Session - Information, or click Online Application to apply. The deadline is January 22, 2010.

Have You Suggested Ed's Resume' Maker to Job Seekers?

Are you familiar with Ed’s Resume' Maker? It is a wonderful program that Ed Lein, Librarian in the Main Library's 2nd floor Reference Department, wrote which allows a person to simply type information in blanks and it automatically formats the information into a beautiful resume'. Linda Eckersen, who suggested we share this valuable information, said she showed it to customers when she worked at San Marco Branch, who were working on their resumes' and did not know how to make them look professional.

http://jaxpubliclibrary.org/res/sites/jobs.html
http://edsplace.coolfreepages.com/resumemaker.html

"There was a period of time when it did not work," Ms. Eckersen said and she asked Mr. Lein if he would fix it and he did. She believes most staff members do not know it is now working.

There are many people out of work and some job seekers do not know how to format a resume'. This program does everything for them.

Training Helps in Technology

In the frenzy of our technological world it's easy to lose site of what an important place books still hold. More than that, we often miss opportunities to use that same technology to enhance and promote our collections. Stephen Abram, Vice President of Innovation at SIRSI, has 25 great recommendations for putting technology to work doing exactly that.

Common LDA Question

Several people have been concerned about being unable to register for LDA classes in the TMS because they appear to be full.

These classes will always show as full on the Training Management System (TMS). It’s to keep people from signing up on their own. They want you to request each class using the application form. They will add you to the TMS when you are approved.

Please pass this on to anyone you know who is participating in the LDA. Thanks.

Leadership Development Academy (LDA) Information

You can always find a link to the most up-to-date LDA information and forms by following this path:

JPL Neighborhood > Training Resources > City Training Resources (http://jplstaff.coj.net/training/city/index.htm ).

Please pass this on to anyone you know who is participating in LDA.

Let me know if you have any difficulty finding what you need.
